How to join APAMI2020 Sessions
[1] For General Audience
On-Site:
- Please complete your registration if not yet and then you need to install the “COCOA” apps to enter into the conference venue.
- You don't need to bring your PC but if you like, you can bring your own PC, login to Webex and attend the conference online and onsite in parallel from the venue.
On-Line:
- Please complete your registration if not yet and get your access ID and password to enter into the conference live session. If you are already registered, you will receive your ID and password by email before the event. Please follow your email box.
- Join the sessions using your PC at your place as per your interest.
[2] For Presenters
On-Site: You can participate 3 ways.
- You can bring your own PC and make your presentation on your own PC.
- You can bring your content in USB, then connect with the conference PC and make your presentation from there with the slide control by the event MC.
- If you have submitted your presentation video, you don't need to bring your PC. Conference system will play your video and you can just attend the Q&A session directly.
On-Line:
- Login to the Webex System at least 20 minutes before your session starts.
- Attend the microphone and video testing session with the organizers with your PC.
[3] For Session Chairs
On-Site: You may not bring your PC, but if you bring it, it could be convenient for you to follow the presenters in Webex.
On-Line:
- Login to the Webex System at least 20 minutes before your session starts.
- Attend the microphone and video testing session with the organizers with your PC.
How to participate APAMI2020 Online Sessions
The APAMI 2020 is a hybrid meeting using the CISCO Webex Events system (hereinafter referred to as "the Events"). The Events is a great system for large-scale events, however is a different system from our Webex Meetings that is generally used for small-scale meetings. On this page, you can join a trial session to know what should be done beforehand for the smooth communication in virtual sessions especially for those who are going to join the conference online.
[1] Before you join Webex Events
The link for the Webex Events will be uploaded on the website. However, the first page will be shown in Japanese. Therefore, you need to change the language to English before you connect. Please be sure to check followings before you join Webex Events.

For your comfortable use...
[1] Internet Connection
- Participating with a sufficient high-speed communication environment is affordable or the image and sound quality transmitted throughout the conference may be affected.
- Use a wired LAN if possible when connecting from your device.
- BE AWARE OF traffic restrictions when using pay-as-you-go communication (mobile Internet connection, etc.) as the fee would be higher than expected.
[2] Devices (PCs, smartphones, tablets)
- Usage of high-performance devices is highly recommended. Web conferencing systems generally compress and decompress image and audio data in real time, which puts a considerable load on the CPU. In case the calculation process cannot keep up, the image and sound quality will deteriorate or be interrupted.
- Special notes for the presenters
Preparation of any PCs equipped with a multi-core CPU and 4GB or more of memory would be highly recommended since your presentation apps, such as PowerPoint will be processed in parallel with a great deal of data transmission. Please refrain from making presentations from smartphones or tablets as they may cause problems with not only processing performance but operability during your presentation.
[3] Equipments for listening
- Use earphones or headphones.
- Listening from built-in speakers from your PC may cause a loop via the microphone, which leads to oscillation (echo or howling) and could bother people around you.
- Notes for the presenters
- Please use headphones with less sound leakage.
[4] Microphone
- Not only presenters but chairs and the attendees who ask questions should speak into the microphone connected to devices.
- Your remarks will not only be delivered to the virtual venue but also be to the participants on-site at a loud volume through the PA. Unlike ordinary conference calls, we need to pay more attention to sound quality.
- Avoid using built-in microphones.
- Built-in microphones with no directivity tend to collect noise around you especially when you operate your device (keyboards, mouses etc).
- Notes for the presenters
- We recommend you using a vocal microphone.
How to install the Webex Events app
Installing the Webex Events app is mandatory to join in the conference. When you try to participate, the app will be installed automatically. You can check how it proceeds from a video below (in Japanese only).
